We’re working with a close-knit team of five delivering high-quality fit out and construction projects. As we grow, we’re on the lookout for someone who thrives in a fast-paced environment, enjoys variety, and wants to take ownership of both project support and office life.
We’re looking for a proactive and personable Document Controller / Team Secretary, someone who’s confident using Procore is essential, happy to roll their sleeves up, and keen to play a central role in the smooth running of both site and office operations.
This isn’t just a support role - the right person will become the go to organiser for the team, eventually stepping up to oversee our wider Document Control function and act as a Business PA/Manager to the leadership team.
What you’ll be doing
Document Control (Procore-focused)
Set up and maintain Procore for live projects, ensuring smooth access and usage across the team.
Upload, track, and manage drawings, documents, RFIs, submittals and reports.
Liaise with site teams, subcontractors, and consultants to keep project documentation up to date and well organised.
Ensure document version control and compliance is maintained across all projects.
Team & Office Support
Act as the central point of contact for the team — keeping things organised, on track, and moving forward.
Assist with scheduling, meeting coordination, and basic diary management.
Support wider admin tasks including travel booking, event planning, and report formatting.
Manage office supplies, IT needs and facilities – keeping the space tidy, stocked and efficient.
Welcome visitors, handle phone enquiries and keep the day-to-day running smoothly.
Future-facing responsibilities
Opportunity to step up and oversee document controllers as the team grows.
Provide business support to directors – from managing calendars and preparing board packs to helping with business processes and internal coordination.
Help shape the role and improve how we work, with plenty of scope to add your own flair.
What we’re looking for
Strong experience with Procore (essential).
Construction or design & build industry experience preferred.
Super organised, hands-on, and happy to multitask across varied responsibilities.
A natural team player with great communication skills – confident, friendly and professional.
Positive, can-do attitude – willing to help wherever needed and suggest improvements.
Ambitious and ready to grow with the role and business.
Able to thrive in a small team and make a big impact.
